Christmas Time is Here

From all of the Heroes at UnitWise, we would like to wish each of our users a very Merry Christmas!  We hope that your holiday season is merry and bright, and that you are able to spend some quality time with your loved ones during this special time of year!

Our Heroes will also be celebrating the season with family and friends; we will not be offering live support from Friday, Dec. 23 through Monday, Dec. 26.  We will still provide email support for any emergency situations.    Our normal business hours will resume on Tuesday, Dec. 27th.

Mary Kay Featured on Nightline

It is a commonly held idea that even during difficult economic times, people continue to purchase cosmetics.  This was the subject of the ABC program Nightline last night.  The program highlighted the fact that the Mary Kay industry is still growing during these poor economic times.  In fact, there were more than 200,000 new consultants during the first six months of this year alone!

10 Minutes / Questions: Prasad Vemala

10 Minutes/10 Questions is a series of interviews that UnitWise is conducting with various members of the UnitWise family.

For this 10 Minutes/ 10 Questions interview, Charles (a customer support Hero) spoke with Prasad Vemala (one of our tech support heroes).  As a Senior Programmer for UnitWise and its parent company SPAN Enterprises,  Prasad is ultimately responsible for the creation of UnitWise.  

1.  What is Your position with Span Enterprises? VP - Business Management Products.

2.  How long have you been with Span? I've been with SPAN from it's inception - almost 3 years now.

3.  To develop a product like UnitWise, it would certainly take a lot of expertise; Please tell us a little about your education and experience in the software industry.  I have a bachelors degree in Information technology from Madras University and have over 8 years of experience in Software development.

4.  I've heard that you have are a fan of motorcycles.  What kind of bike do you drive?  I love to commute on my motorcycle and it certainly gives me a sense of freedom in this urban traffic. I love Honda bikes and currently have the Honda Twister. 

5.  I understand that you, as well as several other UnitWise programmers, are heavily involved with a charity called "Helping Pals."  Please tell us a little bit about the work you do with that.  The charity Helping Pals has helped over 300 orphan children with shelter, food and provides financial support for education. We made a promise to provide them with a percentage of what we earn and it has made a real difference in the lives of the kids, especially with their education. Our company SPAN has helped this charity to build the hospital and sponsors the salary of some of the workers on a monthly basis.  

6.  With all the programming, code changes, and product development that goes on in the Programming side of UnitWise, do you ever get any sleep? Our aim is to make UnitWise a very successful and handy application for the Mary Kay users, we work hard to make it happen at every moment. Having said that, the environment in the office is very cordial and fun loving.  We work hard during the week and the weekends are strictly to family, friends and good rest. 

7.  Other than programming, what do you do for fun?  I love to race my bike and listen to good music, and of course hanging out with friends during weekends.

8.  What's your family life like? Are You married?  I am single. My sister's family lives pretty close and I enjoy hanging out with my niece and nephews.  

9.  What was the most challenging part of UnitWise to build from a programmer's perspective? The challenging aspect is always when we had to integrate with a third party software with Unitwise. The challenge is to give a seamless interface to the Unitwise users. I would say Propay's Protectpay, Text Blast, Integrating Free Conference Calling are some of the challenging features we had in UnitWise. Apart from that, UWNOW, our mobile site was very challenging to develop as it has to work in multiple mobile platforms.

10.  Out of the upcoming projects that are under development from the programming side of UnitWise, What are you most excited about that we may not yet be aware of?  We are working on a few great new features to be released for LEADERSHIP. Unfortunately you don't have the clearance to get this info at this time Charles!!!

11.  Are you excited about the new office?  We are pretty excited with the New Office that we recently moved into. We are in one of the biggest IT complexes which is like a mini-city. There is a variety of food, new friends, Park, Gym, and the list keeps on growing!

How to Write Off Bad Debts

As the end of the year approaches, it is very helpful to get your finances organized to begin the new year.  We have added a feature that will help you Write Off Debts that you do not expect to be paid.  

This Feature can be found in the "Sales" Tab for each customer.  

1.  Go to the "Sales" tab for each customer
2.  Click "Show/Hide Write Off"
3.  Click "Write Off" to Write off the open invoices.

This information can be viewed in Home>> Reports>> Customers>> Bad Debts

UW Payment Hub

The UnitWise Payment Hub is a way for your customers to pay invoices online.  You can set this up in a few easy steps:

Step 1
In Preferences>>UW Payment Hub you will see the 3 requirements for the UW Payment Hub to work efficiently.  

1.  UW Payment Hub is only available on Consultant Complete and Director Complete Packages.  (you may need to upgrade to take advantage of this feature)
2.  Contacts with duplicate email addresses will not be able to use UW Payment Hub
3.  Your account must be linked to ProPay

Step 2
You will then have the option to allow your customers to access your UW Payment Hub to view their invoices and sales history.  You also have the option to send an email marketing campaign to a customer group to notify them about the Payment Hub.

Step 3
To manually allow a customer to access the Payment Hub, click on the Sales tab for that customer.  From here, you can create a password for that customer and send it to their email address.

Step 4

Your customers can view and pay invoices through the "Customer Sign-In" link at the bottom of your website.  Once they are inside, they can view and pay invoices directly through your website.  Once an invoice is paid online, it will be marked as paid within your UnitWise account.

Make Your Website Sing!

While we pride ourselves on creating websites that are visually appealing as well as highly functional, one thing you may also want to think about is to make your website sound good.  

As you may know, you can embed any html file onto your UnitWise website such as videos, flash tools, and music playlists.  Through programs like you can create a custom playlist and post it onto the home page of your website in just a few easy steps!  

Once you create a Free account with them, you can create as many playlists as you would like.  These playlists all have an Html code (also known as an "Embed Code") that can be added to your website.  Just copy the code and add it to your website with the "Embed Media" tool.

Using QR Codes For Your Business

As you ladies know, it is always important to stay on top of the latest trends and fashions in order to maintain the style that you have developed.  The same is true for your business; it is very important to keep yourself aware of the varying business trends and strategies.  

One such trend that is becoming incredibly popular is the use of QR Codes.  QR Codes, or Quick Response Codes, consist of a square made up of many black and white squares.  These codes can then be scanned by any smartphone with a QR code reader app.  These free apps are available for any iPhone, Android, or BlackBerry.  When the code is scanned on the phone, the user can then go directly to whatever website the QR code is set to go to.

As you have probably noticed, QR Codes are becoming incredibly popular in magazine advertisements and many other forms of printed media.  These QR codes have transformed printed media because it provides a call to action or next step for the customer.  Instead of simply skimming through an article or advertisement, they have the option to scan the QR Code for the ad and receive even more information about the product. 

After seeing how these codes have developed over the past year, we thought we should pass this info on to you all.  QR codes could be a great thing to add to a business card, flyer, or any other type of printed media.  You could set it to go to your MK shopping page, your UnitWise site, or a YouTube video to name a few.

iPad For Leadership

Sending out UnitWise Referral Emails Has Never Been More Rewarding!  We have been very impressed with the amount of referrals that people have been making on UnitWise.  Recently, one of our users jokingly suggested that she should get some sort of prize for making so many referrals.  

After thinking about this, we decided that she was right.  While it is true that for every 4 referrals, you get 1 month of UnitWise for free; we decided to do something more.  That is why this year at Leadership, we will be presenting a Brand New iPad to the person who makes the most Referrals* for the year of 2011!  We will also be giving away another special prize to the runner up.

5 Tips to Reach Your Goals

We understand that like any business, you need to set Goals for your Mary Kay business in order to gain success.  Without proper guidance and action, your goals may run the risk of not being achieved.  This list should serve as a basic lesson in project management and should benefit your business and the speed at which you achieve your goals.

1. Set Short Deadlines for your Goals
This idea comes from "Parkinson's Law" which is based around the idea that  Work expands so as to fill the time available for its completion. This can also be summarized by saying that if you have a whole day to do something, it will take you a whole day to do it.  Therefore, it is best to set shorter deadlines for each task to achieve your goals quicker.

2. Create Achievable Tasks to reach your goals
If the tasks to accomplish your goal are reasonable and simple, they will be done quicker.  This gives you a clearer understanding of how far along you are.  The tasks that you set for your goal should not be overly complex or something that takes a long time to complete.  If a task is too large, it will seem impossible to complete.  This is why you need to create clearly defined Tasks to accomplish your goal.

3. Craft a Plan
Once you create your Task List, it is important to continue to review your tasks and edit them as needed.  This is also important so that you remain focused on the big picture without getting side tracked with unrelated or unnecessary tasks.

4. Focus on Each Goal
When you have a complex project or a large goal to reach, there can be a lot of tasks associated with that.  The best way to get these tasks accomplished is to concentrate on them one at a time.  If you try to accomplish many different things at the same time, you will end up not getting any of them done.  

5. Reevaluate
With each task you focus on, remind yourself to think about how this task will help bring about your goal.  It is too easy to get off track and focus on little things that are relatively unimportant in the grand scheme of things.  If you regularly reevaluate your tasks and goal

Entendemos que como en cualquier negocio, necesita poner una meta para su negocio en Mary Kay y así podrá tener éxito. Sin una guía y acción propia, sus metas quizás corran el riesgo de no ser cumplidas. Esta lista debería servirle como una lesión básica en la administración de proyectos y también beneficiarles en sus negocios y a la velocidad el cual complete sus metas.

1. Comprométase a ajustar metas cortas

Cuando haya creado una lista de tareas, es importante de continuar resisando sus tareas y editándolas si es necesario. Esto también es importante para que se pueda enfocar en la gran foto sin ser distraído por tareas innecesarias.

4. Enfocarse en cada Meta
Cuando tiene un proyecto complejo o un meta larga de alcanzar, pueda que tenga muchas tareas asociadas a esas metas. La mejor manera para completar estas tareas es concentrarse en ellas una a la vez. Si trata de completar tareas  diferentes a la misma vez, terminara sin completar ningunas de ellas.

5. Revalorizar
Con cada tarea que se enfoque, recuerde en como pensar de que manera esta tarea le ayudara a traer sus metas. Es fácil de distraerse y seguir o enfocarse en las cosas pequeñas que son relativamente sin importancia. Si regularmente revaloriza sus tareas y sus metas.

UnitWise Prayer Call: "A God of Second Chances"

On the morning of Friday, September 2nd, UnitWise hosted another Devotion & Prayer Call with one of our Heroes, Rev. Roger Brown.  Rev. Brown began by reminding us of how Mary Kay Ash was inspired by Matthew 7:12 "So whatever you wish that others would do to you, do also to them, for this is the Law and the Prophets."  This verse is otherwise known as The Golden Rule, and Mary Kay Ash not only took that to heart, she made it the core of her business.

We should all take this verse to heart as we go through our lives from day to day.  Being a voice of encouragement is one of the greatest gifts that a person can receive.  Therefore, we should all strive to build each other up during the good times and bad.

Rev. Brown went on to focus on some of the failures of several very successful people such as President Abraham Lincoln and baseball legend, Hank Aaron.  Both of these men achieved great things in their lives, but they also had their share of failures.  This is similar to the way we live our lives in Christ.  People will not always be receptive to an attempt to enrich their lives through God's love, but you should continue doing so because the seed that you plant may one day grow.

Extended Customer Support Hours!

We are So Thrilled to have such a record amount of traffic on UnitWise over the past few weeks that we decided to extend our customer support hours! The new schedule will take effect for the month of September. Our New Customer Support Hours will be:

Monday - Thursday: 9:00am - 8:00pm EST (8:00am - 7:00pm CST)
Friday will remain 9:00am - 6:00pm EST (8:00am - 5:00pm CST)
Saturday: 9:00am - 1:00pm EST (8:00am - 12:00pm CST)
The month of September will serve as the trial basis for these new hours.
Below is a conversation with Glenn, UnitWise Product Manager, about our customer service

What's the most popular mode of support request, and how long is the average chat or call?
- We get more emails than chats or phone calls. Phone calls and chats typically last about 8 minutes, but it does not matter if it is 8 minutes or 30 minutes. We are here when our customers need us.

Why is UnitWise so passionate about customer support?
- Not everyone is going to be very computer/internet savvy, just like we are not experts in MK, so we have taken it upon ourselves to educate our users as well as learn from them at the same time. As consumers, we understand that it can be frustrating to not get help when you need it. That's why we are the only MK business management software that provides live phone, chat, and email support. We have even taken it a step further to provide online meetings through GoToMeeting, Skype support, regular webinars and Spanish support for our Spanish speaking users.

Do you guys get any disrespectful calls or emails? 
 - We always aim to go above and beyond our customers' expectations, but just like any customer support environment, we occasionally get calls/emails from people who are less than respectful. Nonetheless, we make it a point to provide polite and respectful service.

Why the extended hours?
- We are located just outside of Charlotte, NC, but we also feel a need to cater to those on the west coast. So, in keeping with our Customer Support philosophy, we have decided to extend our hours to 9:00am-8:00pm EST (8:00am-7:00pm CST) on a trial basis.

Why is UnitWise the only product out there, who will actually do all the setup, etc. for free?
- We manually perform customer setups because we understand that it can be stressful to switch or begin using a new business management tool. We try to alleviate the hassle for our customers so that they can stay focused on their business. We take care of all this for FREE, unlike other services who charge setup fees to use their own program.

What steps do you take for solving a technical problem?
- Support heroes have a great relationship with the technical heroes, most of the requests are taken care of immediately, but almost all of them within 12 hours. No matter what the issue is, all the heroes in the company jump in to find a solution.

What is the UnitWise office like?
- Our office layout is very open so that we can always talk to each other about ideas and suggestions. UnitWise is a product from SPAN Enterprises, we do a lot of other software products and not just UnitWise. We have a very casual work atmosphere. (we even have a putting area)
About every week or so on a Friday, we have a team meal together in the office. Sometimes we get delivery, and other times the Heroes show off their cooking skills. One day each week, we get to work from home so that we can each spend more time with our families.

How many Heroes are in the UnitWise Team?
There are many heroes that make up the UnitWise Team, some wearing different capes than others. We have our talented programmers, graphic designers and dedicated customer support heroes. Regardless of which hero answers the call for help, we are committed to providing super support for all of our users.

Lunes- Jueves: 9:00am – 8:00pm EST (8:00am – 7:00pm CST)
Viernes sera de 9:00am – 6:00pm EST (8:00am – 5:00pm CST)
Sabado: 9:00am - 1:00pm EST (8:00am - 12:00pm CST)

Tenemos una entrevista con Glenn, Manager de Productos en UnitWise, acerca nuestro servicio al cliente.

¿Cuál es el modo más popular de soporte requerido, y cuánto dura una llamada o chat en promedio?
-Obtenemos más correos electrónicos que chat o llamadas telefónicas. Llamadas y chats típicamente duran acerca 8  minutos, pero no importa si son 8 minutos o 30 minutos. Estamos aquí cuando nuestros clientes nos necesitan. -No todas las personas serán muy éticos con las computadoras y el internet, como no somos expertos en MK, entonces hemos tomado la decisión de educar nuestros usuarios y también aprender de ellos a la misma vez. Como clientes, entendemos que existen cosas que son frustrantes cuando no tienen ayuda. Por eso somos  el único programa de administración de negocios MK que puede proveer teléfono en vivo, chat, y soporte por correo electrónico. Hemos tomado un paso más allá para proveerle  reuniones online usando GoToMeeting, soporte por Skype, webinars regulares y soporte en español para nuestros usuarios hispanos.

¿Reciben llamadas o correos electrónicos faltándole el respecto?
-Siempre apuntamos a ir más arriba y allá de las expectaciones de nuestros clientes, pero como cualquier otro  ambiente en servicio al cliente, ocasionalmente tenemos llamadas/correos electrónicos de personas que son un poco irrespetuosas. No obstante, tenemos un punto para proveer un servicio cortes y respetuoso.

¿Porque las horas extendidas?
-Estamos localizados a las afueras de Charlotte, NC, pero también sentimos una necesidad para ofrecerles servicio a esos en la costa oeste. Entonces, para mantener nuestra filosofía de servicio al cliente, hemos decidido extender nuestras horas de 9:00am-8:00pm EST (8:00am-7:00pm CST) en una base de prueba.

¿Por qué es UnitWise el único producto afuera, que actualmente hace todas las programaciones, etc., de gratis?
-Manualmente hacemos las programaciones de clientes porque entendemos que puede ser estresado cambiar o comenzar a usar una nueva herramienta de administración de negocios. Tratamos de aliviar el peligro por nuestros clientes para que se puedan enfocar en sus negocios. Hacemos todo esto de gratis, no como otros servicios que cobran para programar en su propio programa.

¿Qué pasos toman para resolver un problema técnico?
-Los héroes de soporte tienen una gran relación con los héroes técnicos, muchos de los requisitos son hecho de inmediato, pero la mayoría les toma al menos 12 horas. No importa el asunto, todos los héroes en la compañía brincan a una solución final.

¿Cómo es la oficina de UnitWise?
-Nuestra oficina es abierta para que podamos hablar acerca nuevas ideas y sugestiones. UnitWise es un producto de SPAN Enterprises, hacemos muchos productos para programas y no solo UnitWise. Tenemos una atmosfera muy casual en el trabajo. (Hasta tenemos un área de descanso)
Acerca cada semana o cada otro viernes, tenemos una comida para el todo equipo en la oficina. Algunas veces tenemos entregas, y otras veces los héroes enseñan sus habilidades para cocinar. Un día a la semana, trabajamos desde casa para que podamos pasar más tiempo con la familia.

¿Cuál es la visión de UnitWise?-Nosotros en UnitWise prometemos proveerle a directores y consultantes las herramientas que le ayudarían a crecer en sus negocios con nuestro programa basado en la web y un servicio al cliente sin alcanzar. -Tenemos muchos héroes que hacen el equipo de UnitWise, algunos usan diferentes capas. Tenemos nuestros talentosos programadores, diseñadores gráficos y héroes dedicados al soporte al cliente.  A pesar de que héroe conteste la ayuda, estamos cometidos a proveerle el súper soporte para todos nuestros usuarios.
